Systems integration for small business —
one system, not five tabs.

Your website takes the order. Your CRM tracks the customer. QuickBooks holds the money. Something else ships the box. We connect them so the order is typed once and every system after it already knows — the invoice, the payment, the stock count, the tracking number.

Begin the Conversation

Systems integration for small business means connecting the tools you already pay for — website, CRM, accounting, payments and fulfillment — so data moves between them automatically instead of being re-typed. Axesris designs and builds those connections: we connect your website to your CRM and QuickBooks, wire payments back, and make the whole chain auditable.

Most small businesses run five or six good tools that do not talk to each other. An order arrives on the website. Someone copies it into the CRM. Someone else builds the invoice in QuickBooks by hand. When the customer pays, nobody updates the deal. When the box ships, the tracking number lives in a shipping app the sales rep never opens. Every hand-off is a place for a typo, a missed order or a customer who hears nothing for three days.

Business systems integration replaces those hand-offs with rules. The website writes the order straight into the CRM. The CRM builds the invoice in QuickBooks Online and checks the totals before it sends. The payment comes back on its own and moves the deal. Paid orders go to shipping. The tracking number comes back to the customer record and the customer gets an email. Nobody re-keys anything, and every system shows the same truth.

We think of it as one chain — order to cash — rather than a pile of point-to-point connectors. That matters because the failures happen at the joins. A marketplace connector that copies invoices but not payments leaves your pipeline wrong. A form that says "thanks" while the CRM silently rejected the record loses the lead. We build each link to confirm the next system actually accepted the data, and to raise a task for a person when it did not.

You do not need to replace your tools. We work with what you run — HubSpot, Zoho CRM, QuickBooks Online, Quickbase, Stripe, ShipStation, WooCommerce and custom Next.js sites on Vercel. Where a native integration works, we use it. Where it falls short, we write the connection ourselves. We are based in Torrance and do this work for businesses nationwide.

/ The Connect Lane

Connect your website to your CRM and QuickBooks — and everything between.

01 · HubSpot Integration

Website forms and checkouts written into HubSpot as contacts, deals and line items. Pipelines whose stages move on real events, and customer emails sent when a card moves — including on HubSpot's free tier.

02 · Zoho CRM Integration

Zoho CRM setup, workflows and Deluge functions. Web orders become Contacts, Accounts, Deals and Quotes; reps are assigned automatically; stages follow the money.

03 · QuickBooks Integration

Two-way QuickBooks Online sync: invoices built from the CRM to the cent, payments and inventory back. We know where the off-the-shelf connectors stop.

04 · Quickbase Development

Website orders written into your Quickbase app as parent records and line items, with one order number across systems and a repair job that catches anything missed.

05 · Payment Integration

Stripe Checkout priced on the server, Apple Pay and Google Pay, signed pay links, and webhooks that turn a payment into a CRM deal and a fulfillment instruction.

06 · CRM Management

Once it is wired, someone has to keep it clean. Data hygiene, pipeline reviews, automation upkeep and reporting so the system stays trusted.

/ How It's Wired

The order-to-cash chain, end to end.

Every business has its own version, but the shape is nearly always the same. Here is the generic chain we build toward — each arrow is a connection that runs on its own and checks its own work.

  1. WebsiteOrder or inquiry submitted
  2. CRMContact, deal and quote created; rep assigned
  3. AccountingInvoice built and checked against the quote
  4. PaymentsSettled payment synced back; deal stage moves
  5. FulfillmentPaid order sent to shipping
  6. CRM + EmailTracking written back; customer notified

One order, typed once — every system after the website reads from the record before it.

/ Systems We've Built

Three business systems integrations, in numbers.

S01 · Zoho CRM + QuickBooks Online + ShipStation

For a B2B wholesale distributor. The website order form creates a Contact, Account, Deal and Quote in Zoho CRM. A workflow builds the QuickBooks Online invoice to the cent — and refuses, opening a high-priority task, if the totals do not match. Payments sync back within 15 minutes (usually under one), inventory syncs both ways, and paid orders go to ShipStation with tracking returned to the CRM. In its first 30 days the system carried roughly 106 quotes worth about $391k. An audit along the way found $2,697.15 of sales tax wrongly charged to 15 out-of-state buyers.

S02 · Stripe + HubSpot

For a business that sells both online and in person. Stripe Checkout is priced on the server — the browser sends only SKUs. A Stripe webhook writes the HubSpot contact, deal and line items as fulfillment instructions into a 9-stage pipeline. Customers get a stage-change email within about a minute of a card moving, built on HubSpot's free tier. A pricing engine turns a 1,593-row supplier catalog into 878 computed prices, and 12 automated test suites guard it.

S03 · Website + an existing Quickbase app

For a B2B supplier whose Quickbase app was built by another firm. We connected the website to it: every order becomes a parent request with line items linked by SKU, and success is counted only when Quickbase returns a record ID. Prices are recomputed on the server — which fixed an order quoted at $1,910 being charged on $1,575. A cron job every 2 minutes repairs missed links, and a six-stage board was backfilled with 211 orders.

The full write-ups, with the flows drawn out, are on our work page. Client names are withheld on purpose — these are the internals of real businesses.

/ Problems We Fix

What breaks when systems are not connected properly.

01 · Silent rejections

A database or CRM can answer "200 OK" and still reject the row. If the website trusts that answer, the customer sees a thank-you page and the order never exists. We count success only when the receiving system hands back a record ID.

02 · Prices that drift between systems

When a browser sends the price, the price can be wrong. We recompute prices on the server and write them to the order lines, so the quote, the invoice and the charge agree.

03 · Invoices edited after sending

One audit found 16 of 21 invoices had been changed after they were sent. When invoices are built from the CRM and checked against the quote, hand-edits stop being the normal way to fix mistakes.

04 · Tax and settings nobody checks

One audit found $2,697.15 of sales tax wrongly charged to 15 out-of-state buyers. Integration work is when tax settings finally get looked at.

05 · Leads with no source

Before one supplier's lead tracking was fixed, analytics showed 0 conversions from 1,840 direct, 750 ChatGPT and 308 Google sessions. We record first- and last-touch source on every lead so you know what actually brings in business.

/ Systems Integration FAQ

Questions owners ask before connecting their systems.

What is systems integration for a small business?

It is connecting the software a business already uses — the website, CRM, accounting, payments and shipping — so information moves between them automatically. An order typed once on the website becomes a CRM deal, a QuickBooks invoice, a payment record and a shipment without anyone re-entering it. The goal is one accurate record of every customer and order, shared by every tool.

Can you connect my website to my CRM and QuickBooks?

Yes. That is the core of what we build. We have connected a website to Zoho CRM and QuickBooks Online with invoices built to the cent and payments synced back within 15 minutes. We also connect websites to HubSpot, to existing Quickbase apps and to Stripe. HubSpot to QuickBooks is a connection we offer and scope per project.

How much does business systems integration cost?

It is scoped per project. The price depends on how many systems are involved, which direction the data has to move, how clean your existing records are, and whether the native connectors are good enough or the connection needs to be written. We start with a review of how orders and money move today, then give you a fixed scope before any build.

How long does it take to connect a CRM to accounting and payments?

It depends on the number of links in the chain and the state of the data. A single connection, such as website to CRM, is far smaller than a full order-to-cash system with invoices, payments, inventory and shipping. Part of every timeline is cleanup before go-live — test records, duplicate customers and mismatched product names have to be fixed first.

Do I need to switch CRMs or accounting software?

Usually not. We work with the tools you already run, including HubSpot, Zoho CRM, QuickBooks Online, Quickbase, Stripe, ShipStation and WooCommerce. Changing platforms is expensive and disruptive, and most problems come from how the tools are connected rather than which tools were chosen. If a tool truly cannot do the job, we will say so plainly.

What happens when a sync fails?

It should never fail quietly. We build each connection to confirm the next system accepted the data, retry on a schedule, and open a task for a person when something does not match. In one build, a mismatched invoice is refused and a high-priority task is created instead. In another, a job runs every 2 minutes to repair any links that were missed.

Not sure where your system is breaking? A systems audit maps how orders and money move today and finds the gaps. If the website itself is the weak link, start with custom website design or a website rescue. To keep the connected system clean once it is live, see CRM management.
